Theatre Wakefield (“TW” “we”) is committed to respecting and safeguarding your privacy in connection with any of the services or products provided by us. Whether you access our website (theatrewakefield.ca), join our mailing list, contact us or consent to receive e-mail messages from us in the context of TW events and activities, you agree to the terms and conditions of this Policy.
The objective of this Privacy Policy (the “Policy”) is to provide you with information about the reason and the manner in which TW collects, uses and shares your personal information, the options you have in this respect and how you can access and correct your personal information, if necessary.
What information do we collect, use or disclose?
For the purposes of this Policy, “Personal Information” refers to any information about an individual that could, directly or indirectly, allow them to be identified, such as a street or e-mail address, telephone number, or any financial information.
We collect, use and disclose your personal information as necessary to provide our services to you, with your consent, or as permitted or required by law. How we obtain your consent will depend on the circumstances, as well as the sensitivity of the information collected. Subject to applicable laws, your consent may be express or implied, depending on the circumstances and the sensitivity of the personal information in question. If you provide personal information about another individual to us, it is your responsibility to obtain the consent of that individual to enable us to collect, use and disclose their information as described in this Policy.
Depending on the circumstances, here are some types of personal information that we may collect about you:
- When you purchase a ticket online to a show or event, we may collect: your name; contact information such as your telephone number and your e-mail address; payment method information (including your payment card number, expiry date and CVV code);
- We may ask for additional information for statistical purposes: the age range you fall into, your postal code, whether this is the first TW event or show you have attended, and where you heard about the show;
- When you contact us by phone, e-mail or when using an online form, we may collect: your full name, e-mail address, phone number, mailing address, the nature of your request and any other information that you provide us with;
- When you register as a volunteer or subscribe to our newsletter, we may collect: your full name, e-mail address, and phone number;
- When you complete a survey, we may collect: your full name, e-mail address, appreciation of the show, interests, sources of information, and postal code;
- When you make a donation in support of our organization, we may collect: your full name, e-mail address, the amount of the donation, payment method information (including your payment card number, expiry date and CVV code); and,
- When you apply for a position or volunteer for an event or show, we may collect: your full name, physical and e-mail address, phone number, and any résumé or background information that you send.
In general, we collect your personal information when you reserve and purchase a ticket for a show or an event, donate to our organization, respond to a survey or react on our social media accounts or to messages that we send you by e-mail or text.
How we use your information
We use your personal information primarily:
- To finalize reservation or purchase transactions when you buy a ticket for a show or an event presented by TW;
- To determine and verify your identity;
- To respond to your requests for information;
- For marketing, market analysis and statistical purposes;
- To target your needs, interests and preferences;
- To inform you of shows, events, benefits that may be of interest to you;
- To control the quality of our customer service and to prevent fraud; and,
- For any other purpose as required or permitted by law.
Communication of your Personal Information
TW works with third parties, such as ticketing services, for shows and events produced or presented by TW and in collaboration with other organizations. When you reserve or purchase tickets by phone, e-mail or online, or when you make a donation, some of your personal information is collected to facilitate the management of your ticket reservation or purchase, or donation. The ticketing services have access solely to the personal information of customers for their shows and events in the ticketing system. They do not contact purchasers for promotional purposes.
This Policy applies only to our services. It does not extend to any websites or products or services provided by third parties. We do not assume responsibility for the privacy practices of such third parties, and we encourage you to review all third-party privacy policies prior to using third-party websites, products or services.

In any event, we do not share, sell or distribute your personal information with or to unrelated third parties except in limited circumstances. TW may use the services of third-party sites, such as Eventbrite, Facebook, and Google (or any others), to promote its content and offerings.
We do not authorize the service providers to disclose your personal information to unauthorized parties or to use your personal information for their direct marketing purposes. Additionally, we may use and disclose your information when we believe such use or disclosure is permitted, necessary or appropriate: (a) under applicable law, including laws outside your country of residence; (b) to comply with legal process; (c) to respond to requests from public and government authorities, including public and government authorities outside your country of residence; (d) to enforce the terms of the agreements for our services; (e) to protect our operations; (f) to protect our rights, privacy, safety or property, and/or those of you or others; and (g) to allow us to pursue available remedies or limit the damages that we may sustain.
How to Opt Out of Communications
If you no longer want to receive e-mails or phone calls from us, you may opt out by contacting us directly using the contact information in the “Contact Us” section below.
We will endeavour to respond to your opt-out request promptly, but we ask that you please allow us a reasonable time to process your request. Please note that if you opt out from e-mail, we may still need to send you communications about the use, modification or cancellation of certain of services that you purchased.
Retention of Personal Information
We will use, disclose or retain your personal information only for as long as necessary to fulfil the purposes for which that personal information was collected and as permitted or required by law. The Security of Your Personal Information
Paper files are kept in areas where physical access is restricted to authorized users only in order to protect such information against loss or theft and to prevent any unauthorized access, transmission, reproduction, use or amendment thereof. Computerized files are protected by user codes and passwords administered by TW to ensure confidentiality of the personal information that we hold.
Only TW Board members who need to access your personal information in the course of their duties will have access to it in accordance with strict standards of confidentiality. All Board members are required to read the Privacy Policy.
Despite the measure outlined above, no method of information transmission or information storage is 100% secure or error-free, so we unfortunately cannot guarantee absolute security. If you have reason to believe that your interaction with us is no longer secure (for example, if you feel that the security of any information that you provided to us has been compromised), please contact us immediately using the contact information in the “Contact Us” section below.
When you access the TW website, information is exchanged automatically between your computer and the site’s server. This exchange of information is necessary for the server to send you a file that is compatible with the equipment you are using. The information exchanged is as follows:
- the internet domain name (e.g. “xygcompany.com”, if you use a private internet access account, or “university.edu”, if you access the internet through a university), and the IP address with which you access our site (an IP address is a number assigned to your computer by your internet service provider every time you browse the internet);
- the type of browser and operating system used to access our site;
- the date and time you access our site;
- the pages you visit; and,
- if you access our website from another site, the address of that site (referring site).
Your personal identity is not revealed in this exchange of information.
Your Right to Access, Rectify and Remove Your Personal Information
Upon written request and subject to proof of identification, you may consult the personal information that we have collected, used or shared, as required or permitted by law, and/or ask that it be corrected.
You may also withdraw your consent to our disclosure or use of personal information collected.
Accessing the personal information contained in files and rectifying such personal information is free of charge. However, a small fee may be required, upon notice from us, to cover the costs of processing such requests (e.g., the cost of photocopies).
Under certain specific circumstances, we can refuse to provide the requested information to you, notably if the request is manifestly unfounded or excessive, if it would be extremely costly to provide the information requested, or if the information contains references to other individuals, cannot be disclosed for legal, security or business proprietary reasons, has been obtained during the course of an investigation of a potential breach of contract or to prevent or detect fraud, or is subject to lawyer-client or judicial privilege.
You also have the right to file a complaint with data protection authorities.
Information About Children
Our services are not intended for persons under the age of 14, and we do not knowingly collect personal information from children under the age of 14. If you are a minor under the laws applicable to your place of residence (age 14 in Québec), please do not provide us with personal information without the express consent of a parent or guardian.
If you are a parent or guardian and you know that your child has provided us with personal information, please contact us. If we learn that we have collected personal information from minor children without verification of parental consent, we will take steps to remove that information from our servers.
